TERMS AND CONDITIONS

REGISTRATION

• Registration is open to all Rotarians and Rotaractors. Rotarians and Rotaractors may also register guests.
• Rotarians wishing to attend from overseas must resolve any UK Entry VISA or immigration issues themselves. Rotary cannot assist with VISA applications or immigration advice.
• No refunds will be provided for failure to obtain a UK Entry Visa.
• You must be a registered delegate of the Conference in order to register and attend the Conference Dinner on the evening of 6th March 2027. The Conference Dinner is optional.
• Payment must be made upon booking.
• The Early Bird Discount is £75 for the Conference and £75 for the optional Conference Dinner.
• The Early Bird Discount expires on 30 November 2026. If, for whatever reason, payment is not received by the Early Bird expiry date, the full registration fee of £100 for the Conference will be applicable and the optional Dinner will cost £100.

REGISTRATION FEES CANCELLATION/FAILURE TO ATTEND

No refunds for cancellation or failure to attend would be paid unless due to serious illness or bereavement. See Clause (a) below.

“Total cost” refers to your total online booking including the registration fees for yourself and any other delegates you register. You can only book to attend the Conference Dinner if you attend the Conference. If you book to attend the Conference and the Conference Dinner for yourself and any other delegates, the costs will be included in the “Total cost”.

(a). Cancellations made due to serious illness or bereavement will be given consideration for a refund of the conference registration fees less all costs incurred from the use of the credit card plus a 10% service fee. The fees for the dinner may be refunded ( less all costs incurred plus a 10% service fee ) if we manage to find a replacement delegate to attend the dinner as we are charged by the venue for the full amount. The Serious Illness must fall under one of the following categories and a written confirmation obtained from a medical doctor should be submitted:

• Hospitalisation.
• Operation/surgery (Out or In-patient).
• Chronic Disease deterioration.

If you require a UK entry visa to attend the conference, please note that it could take several weeks to apply for a visa, depending on which country you apply from. Hence please do not register for the Conference until you have obtained a UK entry visa. Please note that refunds will not be available if visas are not obtained. Please read the Terms and Conditions.
